Refunds, postponements, and work already on the wall

Who may ask

Visit days

If you cancel a depot visit more than ten working days before the agreed date, we refund the visit deposit in full. Between ten and three working days we refund half the deposit, because rail tickets and a held day are hard to reuse. Inside three working days, or if nobody is present to induct us after we have travelled, the visit day is charged and is not refundable. You may postpone once, with five working days’ notice, at no extra visit fee; travel already bought is still due.

Boards and briefing packs

If you cancel after we have accepted the booking but before we have started artwork, production fees already paid are refunded in full. Once a paper draft exists from the visit, or artwork has been set, we keep a reasonable portion for time already spent and refund the rest. After you have approved a working copy, or after the two included amendment rounds, production fees are not refundable. Print that was made to a specification you signed off is not returnable.

Spare cover packs and bay load reviews

If scanned sheets have not yet been opened, fees paid toward that pack or review are refunded. Once collation or an observation day has begun, we invoice for time already spent at the day rate implied by the estimate and refund any remainder. A bound pack that has been dispatched is not refundable, though we will correct our own binding or printing faults at no charge.

Deposits

Visit deposits are part of the visit fee, not an extra product. They follow the visit rules above. Pack deposits (half on receipt of sheets) follow the pack rules.

No-shows

If we arrive for an agreed briefing and the nominated person is absent without notice, the visit day is charged. We will still leave a short written note of what we could see from the yard, but that does not restart the amendment rounds as if a full visit had occurred.

Materials

Lamination, plotter paper, and courier costs already committed are deducted from any refund. We do not stock vehicle parts; there is nothing of that kind to return.

How a refund is paid

We return money by the same method you used, usually bank transfer, within fourteen days of agreeing the amount. We do not send cash to a depot.

Exceptions

If we cannot attend because of our illness, we will offer a new date or a full refund of sums paid for that visit. If a depot is closed by an event outside both parties’ control, we will postpone without retaining a penalty beyond travel already bought.
